Cohort privacy notice

Who this notice covers

Richard Burnett presents Building an Assessment System under the Arketype brand. This notice describes information handling for the cohort website, waitlist, enrollment, member learning spaces and related communications. It does not describe every Arketype product or govern the independent applications participants build.

Information used to run the cohort

We collect information you provide when you join the waitlist, purchase a place, create an account, complete a profile, ask for support or participate in the cohort. This can include your name, email, profile information, messages, submitted work, enrollment status and learning activity.

Stripe processes your payment information. Our cohort systems receive payment and enrollment references, payment status and related customer details needed to confirm your purchase, issue refunds and reconcile enrollment. The cohort application does not need your full card number to provide access.

Account sessions use cookies or similar mechanisms to keep you signed in and protect access. Hosting and application services may process technical records such as request information, device or browser details, errors and security events as part of operating the service.

Recordings are linked from the member workspace and may be delivered by a third party service. Removing workspace access cannot erase downloaded materials or retract every previously shared recording link. Participants must not redistribute recordings or reuse access after their enrollment ends. Recorded sessions can include participant names, voices, images, chat and screen shares. We provide notice of recording and participation options as described in the enrollment terms.

Why we use information

We use information to manage the waitlist and invitations, take payment, provide member access, deliver instruction and feedback, communicate schedule changes, support participants, prevent misuse, resolve payment issues and maintain necessary business records.

Waitlist and promotional emails include an unsubscribe option. Unsubscribing from promotion does not cancel a purchase or prevent essential enrollment, payment, security or schedule messages. Email services may process delivery information and interactions with messages and links; you can contact us with questions about the communications you receive.

Who can receive information

Providers supporting payment processing, account access, storage, hosting, email, live sessions and learning tools process information needed to provide those services. The cohort uses Stripe for payments, Supabase for account and application data, Vercel for hosting, and Resend for email. Zoom supports live sessions and recordings. Building features use coding and model providers, including Anthropic, and may connect to GitHub for repositories. Google Fonts serves the site’s web fonts and receives the technical information needed to serve those requests. Their own privacy terms also govern relevant services they provide directly to you.

Your member profile and content you choose to post or present in a shared cohort space can be viewed by people with access to that space. The profile editor includes a separate choice for appearing on the public course roster. Avoid submitting information you do not have permission to share. Building tools may send submitted instructions, files or code to the providers needed to perform the requested build; do not include sensitive athlete data or secrets in those submissions.

Information may also be disclosed when reasonably necessary to meet legal obligations, investigate misuse or protect the rights and security of participants and the service. Public promotional use of identifiable participant content requires separate permission.

Retention and requests

We retain information for the purposes described here, including continuing member access, payment records, support and security. Different records have different business and legal retention needs. A request to delete an account does not necessarily remove records we must retain for those purposes or copies already lawfully held by other participants.

You may email us to request access to, correction of, or deletion of your personal information, or to ask about how it is used. We may need to verify your identity. We will explain any relevant limits and handle requests in accordance with applicable law. Do not send sensitive identity documents unless we specifically arrange a secure way to verify your request.

Athlete data and external services

The cohort is for adult coaches. Shared cohort spaces are not intended to collect identifiable athlete records or information about children. Use fictional or appropriately de-identified examples. If you believe sensitive information has been shared improperly, contact us promptly.

Your own athlete application and third party tools may have separate data flows and obligations. This cohort notice does not authorize you to upload another person’s information or substitute for your organization’s permissions, policies or safeguards.

Changes

We will publish updates when practices change and provide additional notice when appropriate. We will not use a revised notice to silently authorize materially different handling of previously collected information. Contact us with any privacy question using the details above.
